Earlier this year our office was visited by an independent audit contractor as we completed our Medicare revalidation.
Upon reviewing a few items this contractor indicated that, based on Medicare's requirement, we are to have a separate form signed by a patient that indicates our warranty on our delivered items. Our warranty is listed in our company brochure and it is described on the primary delivery receipt. The auditor stated that this form must be completely separate from the delivery receipt. So, essentially, when delivering any item to a Medicare patient, we must have a delivery receipt, a separate component delivery receipt if not already implemented on the original delivery receipt, and a separate warranty receipt as well. This means a Medicare patient would be required to sign up to *three* delivery receipts.
The final confusion is that the required separate warranty receipt isn't even required to list any items that are warrantied making the date of signature the only way to remotely identify what item that slip warranties! Of course records would be kept together, etc., but obviously anything could happen to cause this to possibly come into question.
We have searched through Medicare guidelines and requirements for any statement to indicate this separate warranty form was required but cannot find anything. Even the auditor could not provide us the information to show us that this was necessary. Has anyone else been told of this requirement or know where to find it in writing? It seems redundant if it's already specifically spelled out on the original delivery receipt that lists the L-codes and the componentry.
