Responses are listed below. In a nutshell though it sounds like both Futura and Medflex offer this feature. The question now becomes how does it work, which is easier and which is more thorough? These questions I'll be answering in coming weeks; I'll try to forward my findings to the list for those who requested I post the responses. Have a great weekend. Mark
I have used for several years a program called OPS by Futura Intl. out of Florida. There are several places within the program where work in progress items are stored with different options for why it's pending. It will also print reports stating where each currently stands. If it requires pre-auth there is a field where you put the number...if it's not there you know it's not done. Also will tell you if it's pending Rx, auth, etc. You must also enter the percent of coverage which will also let you know if benefits have been verified. Of course the best way to keep track of that is to have hard copy of insurance verification in the chart. The demo disc costs around $100...if you don't like it...no strings. Let me know how it works for you.

Have you checked out Medflex? I'm starting up my second private practice and
will be using their program. Their system tracks where the patient is at
all phases of billing/collections. Go to www.medflex.com to check it out.
In my first practice, the front office attached a customized 1/4 sheet form
to the chart to track status of pre-auth's, rx's, billing info received from
practitioner, etc.
I'd be interested in hearing about responses to your post.

Curious as to what software you are using. I saw a presentation on Futura a year or so ago would like to talk to someone who is using it. If I recall, it did track the flow.

We maintain a word document that lists all patients in progress in the
office and run over it each week in our staff meeting. It has several
columns to indicated rx needed, auth needed, etc. I don't know how I
could function without it.

hey Mark, good question. We have resorted to low-tech, we use a card system
and move the cards representing the patient through the process (verified,
authorized, initial visit, delivery, billing, follow up appt and then file
it away in a file for a follow up call either 3 or 6 months later depending
on the patient). It works well as long as everyone has a card. We use
different colors for different practitioners with different stickers for
type of insurance. We use a red card for stat patients. Hope things are
well for you.

I know that this does not directly answer your question, but we use Medflex,
and it does not have a feature like that. We do however maintain what we
call an ortho-list. This is a very simple Excel spreadsheet that is
accessible to anyone on the server. When the practitioner turns in the
orthometry from to the orthotic admin assistant, she enters the patient onto
the ortho-list. There is a column for verifying benefits (although this is
usually done before the patient leaves our office on his/her first visit),
sending the script to the physician, receiving it back from the physician,
sending it to ins. Co. or Medicaid, date authorized, date and time to be
worked on in the plaster room, date and time to be pulled and finished, date
and time of return visit. It takes some maintenance, but we can at any time
see where the project is administratively, technically or professionally.
It is a good system. We are hoping that Medflex will one day have all of
this available within their software, but I am not holding my breath.

All of those components are available in the OPS/Futura software. We have
been using it for several years now and we are very pleased with it. David

We do - in our WIP (Work in Progress Section) you can set up steps on each
job and whether that step holds up billing or purchasing till complete. You
can also set up templates and assign them to insurance carriers so that the
multiple tracking steps go to jobs automatically. Cascade DAFO, for
example, in Washington state has different templates set up for each state
in the country as they have different things they have to do and keep track
of for each states Medicaid as an example.
Also, money put on open Jobs in our system go to refundable deposits not
sales until the job is delivered. So there is a full and correct WIP flow
in MedFlex. The open jobs are created from the scheduling system based on
the visit type of the patient so that forgotten missing paperwork that never
makes it to billing doesn't happen. Or, you can put in an order directly
without scheduling first.
You can also assign jobs to technicians and modifyers and set their due
dates. This lets you run a report for people as to what jobs should be
worked on first. You assign the parts you want for the job and the system
will print part lists to pull for inventory you stock and consolidated PO's
for vendors for parts you don't keep in stock.
We replace Mom and Pop (now MOS), Futura, Medisoft, Dezine, Lytec and
Medical Manager and at present are still the only O & P system listed as
approved for ANSI 837 HIPPA electronic claims on all 4 DMERC websites.
If your interested in a demo we do demonstrations over the internet.
We do an average of 2 to 5 installs a month and with the HIPAA deadline
approaching we are busier than usual for a summer. We have almost 200
different O & P companies running our software. Many are multiple
locations. So our installation by office count is around 500. Only one of
our clients is not O & P. MedFlex was written specifically for O&P for
Becker Orthopedic back in 1988. Our second sale was to OrPro, Sam
Hamontree's organization. We have clients that range from single computer
installations to the new RDA with many offices in many states (they run
all those offices out of a single MedFlex dataset). MedFlex scales up well.
Hope that answers some of your questions. We have a interactive forum
(better than a list serve) except ours is very new new without too many
clients participating yet. It's at www.medflex.com/forums You don't have
to be a MedFlex user to participate.

Medflex allows you to set up WIP reports with work flow templates. These can
be user defined specific to the type of insurance and its specific
procedural requirements. It does require time for you to configure, but once
done, can eliminate/reduce the what's going on with..??. Call John Mason

Mark, Our office just installed Futura. From what I remember from the
training we are able to track the status of each job as you describe.
My guess is that a report could be generated that gave the status of
every job if we needed it.
