Medicare telephone hearing

I am new to O&P billing. I expect to have a MCare telephone hearing soon.
Maybe you can give some tips on how to help this go our way.

We supplied AFO to patient. She was seen in our office for 6 appointments.
The patient said the initial custom AFO rubbed her ankle. A second custom
AFO was supplied and it went a little higher above the ankle. The patient
said the second AFO was too hard to get her pant leg over. Medicare paid for
the AFO. Then pt called to say she was returning the AFO. She dropped the
AFO off at our office, refused to allow a break in period for the AFO.
She call MCare and informed them she had returned the AFO. MCare billed us
back for the AFO.

Pt accepted the AFO on 1.5.01 and returned it 1.29.01.

We feel the pt didn't give herself enough time to get used to the AFO. It
was prescribed by a doctor, and we supplied it, MCare paid, pt changed her
mind, MCare took the payment back.

What do you think? What can I do to have improved chances of MCare paying us
back?

Also-this patient referred her friend to us. After supplying orthotics to
this patient, she called to say she got a second opinion, she does not have a
fracture, therefore doesn't want the orthotic. However, she hasn't returned
the device. Should we bill MCare? Or is this a lost cause?

Thank you!
